A dealership should discover the broad market, apply objective eligibility gates, and conduct deep evaluations with the smallest set that still preserves a real choice—often two to four finalists. The correct number depends on the category and how many providers meet non-negotiable requirements.

Market, OEM eligibility, required workflow, security, integration and commercial constraints should eliminate non-viable options before time-intensive demos.

Protect comparison quality

A smaller finalist group allows the dealer to run the same detailed script, contact references, validate integrations and negotiate complete order forms rather than watching many shallow presentations.

Keep a documented reserve

Retain at least one credible alternative until final contract and implementation terms are settled. Do not manufacture competition by including a provider that cannot meet mandatory requirements.
