Reynolds and Reynolds Reynolds DocuWare
Reynolds and Reynolds Reynolds DocuWare: Reynolds and Reynolds describes its electronic document management system as a way for automotive retailers to store, retrieve, print, email and outbound fax documents from the same information system they use to run the store. F&I and Showroom reported the launch of the electronic document management offering.

DocuWare, the document software company, also publishes a page describing document management for auto dealerships.
According to Reynolds, the system captures documents directly from the Reynolds system and from scan stations. It can take in documents through importing and inbound faxing.
The point of the direct capture is that a deal jacket, a repair order or an invoice generated in the retail management system is archived at the instant it is created, without being printed and scanned first.
The system is described as usable from any terminal in the dealership. So a business office employee, a service advisor and a controller can each pull up the same document.
Optional functionality includes electronic signature capture and data exporting. Reynolds presents this as removing the burden of paper from the business and giving employees access to the information they need wherever they are in the store.
Reynolds publishes a Document Services Catalog and a media page on simplifying document management, which describe the wider set of document services the company offers to retailers. The electronic document management system sits beside its contracting products, including the docuPAD System, which Reynolds describes as an interactive F&I menu and compliance tool that streamlines the contract process.
DocuWare markets its own dealership document solution separately. So a store buying directly from DocuWare would be entering a different contract from one buying through Reynolds.
For a business manager the evaluation is practical: which document types are indexed automatically, how long documents are retained, how a deal jacket is assembled for an audit, how access is restricted by role, how a document is retrieved if the store changes its retail management system, and how e-signature captured in the system is stored alongside the paper original.
Reynolds' ERA-IGNITE retail management system is described on its site as the core system with which the document tools integrate. The category guide for document management and e-contracting lists the neutral questions for comparing options.
