What to check before you buy

Check how many key positions a cabinet holds, whether more can be added, how people authenticate (PIN, card, fingerprint), and what a sales manager sees when a key is overdue. Ask about emergency release, network or power failure, and how access is removed when a person leaves.

Get an answer on how a key that is out overnight is handled and what the audit report looks like on the day a vehicle goes missing. Compare the total cost of hardware, positions, software and support over five years, and check that the vendor's integration covers your DMS or inventory system.

Think about the human side of key control. Decide what a sales manager does when a key is overdue, who has authority to override a lockout, and how a lost key is reported and replaced, then train staff on the rules before the cabinet goes live. A cabinet that people work around, by leaving keys on a desk or sharing PINs, gives the store false confidence and the same losses as before.

Ask how the system handles a key for a vehicle that is sold, traded or moved to another store, and whether key records stay clean when stock numbers change. Many problems come from records that fall out of sync with inventory. Request the report a manager would run to find every key that has been out more than a day, and try it with real data.
